Overview

This privacy policy explains how we process personal data on circulator.ch. The applicable law is the Swiss Federal Act on Data Protection (revFADP / revDSG, in force since 1 September 2023). We only process personal data where necessary to operate the website, provide our services and communicate with you, and we treat your data confidentially.

If you are resident in the EU, the GDPR may apply in addition.

Hosting

The website and our e-mail services are operated by Infomaniak Network SA, Rue Eugène-Marziano 25, 1227 Geneva, Switzerland. Data is stored on servers in Switzerland. Infomaniak processes the data as a processor solely on our behalf (Art. 9 revFADP).

Server log files

When you access the website, data transmitted by your browser is automatically stored in server log files. This serves secure and stable operation (legitimate interest). The following are recorded:
  • page/file accessed
  • date and time of access
  • amount of data transferred
  • referrer (previously visited page)
  • browser and operating system used
  • IP address
This data is not combined with other sources and is deleted after no more than 6 months.

Cookies & consent

We use strictly necessary cookies required to operate the website (e.g. language choice). Additional statistics services are only loaded if you give explicit consent in the cookie banner. Without consent, no statistics or marketing services are loaded. You can withdraw or change your consent at any time via the “Cookie settings” link in the footer.

Statistics: Google Analytics & Metricool

With your consent we use the following statistics services to analyse use of the website and improve our offering:

Google Analytics 4 – provider: Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (parent: Google LLC, USA). The IP address is anonymised. Data may be transferred to the USA; Google relies on Standard Contractual Clauses and the Swiss-US Data Privacy Framework.

Metricool – provider: Metricool S.L., Spain (EU). Collects aggregated usage statistics.

The legal basis is your consent (Art. 6 para. 6 revFADP).

Contact & form data

When you use our forms (contact form, story submission, matchmaker) or e-mail us, we process the data you provide (e.g. name, e-mail, phone, organisation, message) to handle your request and to get in touch with you. The data is stored on our servers at Infomaniak (Switzerland), sent to us by e-mail and transferred into our processing tool Notion (see next section). We keep this data for as long as necessary to handle the matter, at most 3 years after the last contact, unless statutory retention obligations apply.

Processing in Notion (USA)

To manage requests and leads we use Notion, a service of Notion Labs, Inc., 2300 Harrison Street, San Francisco, CA 94110, USA. Personal data captured via our forms is thereby transferred to the USA. According to the FDPIC, the USA does not generally provide an equivalent level of data protection. The transfer is therefore based on appropriate safeguards, namely the Standard Contractual Clauses and — where applicable — the Swiss-US Data Privacy Framework (Art. 16 f. revFADP).

Matchmaker & artificial intelligence (OpenAI)

Our matchmaker helps you find suitable contacts within The Circulator network. To do so, we analyse the profile information you provide (offer, needs, industry etc.) using artificial intelligence from OpenAI, L.L.C., 3180 18th Street, San Francisco, CA 94110, USA. Data may be transferred to the USA (same safeguards as for Notion). The matching and the sending of contact suggestions are carried out automatically. They serve solely to provide you and matching participants with non-binding contact suggestions and do not produce any legal effect or comparably significant impairment (Art. 21 revFADP). Use of the matchmaker is based on your consent; you can object to the use of your data for matching at any time at hello@circulator.ch.

Payments (Stripe)

Tickets for the Circulator Forum are handled via Stripe Payment Links. The provider is Stripe Payments Europe Limited, 1 Grand Canal Street Lower, Dublin, Ireland (and Stripe, Inc., USA). When purchasing, you enter your payment and contact data directly with Stripe, which processes it as an independent controller. Data may be transferred to the USA. Uploaded content (story submissions)

When you submit a story via the Exchange form, you can upload text, images or PDF files. This content is stored on our servers at Infomaniak (Switzerland) and reviewed by our editorial team. Submissions that are not published are deleted after the editorial decision, at the latest after 12 months.

Newsletter

If you sign up for our newsletter, we use your e-mail address to send you information about News, Talks and the Circulator Forum. Sign-up uses a double opt-in procedure based on your consent. You can unsubscribe at any time via the unsubscribe link or by writing to hello@circulator.ch.

Embedded videos (YouTube & Vimeo)

On some pages we embed videos from YouTube (Google Ireland Limited / Google LLC, USA) and Vimeo (Vimeo, Inc., USA). These load via a two-click procedure: only a preview image is shown at first; the actual video player and its cookies are loaded only once you actively click the preview. By clicking, you accept that data (incl. IP address) may be transferred to the respective provider in the USA. See the privacy policies of Google and Vimeo.

Linked websites

This website contains links to third-party websites. We have no influence over their content or data processing and accept no responsibility for them. The privacy policies of the respective providers apply.

Your rights

Under applicable data-protection law you have the right to:
  • access the personal data we process (Art. 25 revFADP)
  • rectification of inaccurate data
  • deletion or restriction of processing
  • object to processing
  • obtain or transfer your data (data portability, Art. 28 revFADP)
  • withdraw consent with effect for the future
To do so, contact hello@circulator.ch. We usually respond within 30 days. You also have the right to report a matter to the Swiss Federal Data Protection and Information Commissioner (FDPIC, www.edoeb.admin.ch).

Changes to this privacy policy

We may update this privacy policy at any time to reflect changed legal or technical conditions. The version published on this page applies.
